How PTO accrual is calculated

PTO accrual converts an annual paid-time-off allowance into smaller amounts earned throughout the year. Employers commonly accrue PTO per pay period or per hour worked.

PTO per pay period = Annual PTO hours ÷ Number of pay periods

Biweekly PTO accrual example

If an employee receives 120 PTO hours per year and accrues PTO across 26 biweekly pay periods, they earn about 4.62 PTO hours each pay period.

120 annual PTO hours ÷ 26 biweekly periods = 4.615 PTO hours per pay period

PTO accrual per hour worked

For an hours-worked policy, divide annual PTO hours by the annual work-hour basis. Using 120 PTO hours and 2,080 work hours gives an accrual rate of about 0.0577 PTO hours for each hour worked.

Divide annual PTO hours by 26. For example, 80 annual hours equals about 3.08 hours per biweekly pay period.

How much PTO do I earn per hour worked?

Divide annual PTO hours by the annual work-hour basis in your policy. For example, 120 ÷ 2,080 is about 0.0577 PTO hours per hour worked.

How do I convert PTO hours to days?

Divide your PTO hours by your normal hours per workday. With an 8-hour day, 40 PTO hours equals 5 days.

Does PTO carry over to the next year?

Carryover rules depend on the employer policy and applicable law. If your plan allows carryover, enter those hours as the starting balance.

Is PTO the same as vacation time?

Some employers combine vacation, sick, and personal time into one PTO bank, while others track them separately.
