Enter the mileage rate that applies to your employer, organization, or situation. Standard rates can change, so this calculator intentionally does not hard-code a tax or employer rate.

How to calculate mileage reimbursement

Multiply reimbursable distance by the applicable reimbursement rate. If only part of the driving was business-related, apply the business-use percentage before multiplying by the rate.

Mileage reimbursement = Distance × Trip multiplier × Number of trips × Business-use % × Rate per mile

Example: 120 miles at $0.70 per mile

If 120 miles are fully reimbursable and the applicable rate is $0.70 per mile, the estimated reimbursement is $84.

Why Numviro uses a custom rate

Mileage rates can differ by employer, organization, country, purpose, and year. Entering the rate yourself keeps the calculator useful for employer expense reports as well as other reimbursement arrangements without assuming one rate applies to everyone.

Round-trip mileage

Select round trip when the entered distance is one-way and you want the calculator to count the return journey too. The calculator then doubles the entered distance before applying the number of trips.

Important: regular commuting and reimbursable business travel are not always treated the same. Confirm which miles qualify and which rate applies under your employer policy or relevant rules.

What is the mileage reimbursement formula?

Multiply eligible miles by the applicable per-mile rate. For multiple identical trips, multiply the trip distance by the number of trips first.

How do I calculate a round-trip reimbursement?

Double the one-way distance, then multiply by the number of trips and the reimbursement rate.

Can I use my employer's mileage rate?

Yes. Enter any per-mile rate that applies to your expense reimbursement policy.

Can I exclude personal miles?

Yes. Use the business-use percentage to reduce total distance to the portion that qualifies for reimbursement.

Does this calculator determine whether mileage is tax deductible?

No. It calculates reimbursement from the inputs you provide and does not determine tax eligibility.
